1Overview

Vikibill (also referred to as "we", "us" or "our") makes business management software - billing, payments, stock, QR ordering and dashboards - for entrepreneurs and small businesses. This privacy policy describes how the Vikibill app and the vikibill.com website handle your information.

Short version: your business data belongs to you. We do not sell your data, we do not show you ads, and we only use your information to run the service you ask us to run.

By using Vikibill you agree to the practices described here. If you do not agree, please stop using the service and contact us to delete your account.

2Data we collect

Vikibill is organised around your business (a "workspace"). We collect the minimum needed to run that workspace.

Account information - the business name, login PIN (stored as a secure hash, never as plain text), and the devices registered to your workspace.
Business data - the data you enter to run your business: products and prices, stock levels, customers, orders and bills, payment records, and QR menu content.
Device & notification data - a device identifier and a token used to deliver push notifications (for example, new-order alerts for QR ordering).
Service usage & support data - error logs and basic usage information so we can find and fix issues, and the details you share with us when you write to support.

We do not collect your location, contacts, photos, or social media accounts, and we do not read your messages.

3How we use your data

We use your information only to provide and improve the service:

To let you and your staff log in and use billing, orders, stock and dashboards.
To keep your data in sync across your devices.
To send push notifications you have enabled (such as QR-order alerts).
To maintain security, prevent fraud, and diagnose faults.
To respond to your support requests.

We never use your business data (customers, sales, stock) to advertise to anyone, and we never sell it.

4Storage, offline & sync

Vikibill is designed to keep working when your connection is unstable. Your business data is stored locally on your device so billing continues offline, and it syncs securely with our servers when your connection returns.

Server-side, your data lives in your workspace's own database, hosted on our cloud servers with access restricted to authorised systems and staff. Data is protected in transit using HTTPS/TLS encryption.

5Payments & financial data

Vikibill records payments as part of your billing workflow - the method (cash or UPI), the amount, and the payment status. That is your business's own records and is visible only inside your workspace.

When you accept a UPI payment, the actual money transfer happens through your customer's own UPI app and the gateway they choose. Vikibill never sees, stores, or handles UPI PINs, card numbers, or banking credentials.

6Sharing & third parties

We share your information only where it is necessary to deliver the service, and only to the extent required:

Cloud hosting - our servers host your workspace database and files (currently in the Mumbai, India region).
Push notifications - we pass a device token to the notification provider to deliver alerts you have enabled. No business data is shared.
Legal obligations - we may disclose data if required by law, regulation, or a valid legal request.

We do not sell, rent, or trade your personal or business information to anyone.

7Security

We take reasonable technical and organisational measures to protect your data:

All communication between the app and our servers is encrypted (HTTPS/TLS).
Login credentials are stored as secure hashes, and access to workspaces is controlled by PIN and device registration.
Servers are monitored, kept patched, and access is restricted to authorised staff only.
You control who in your business can use the app through the users feature.

No system is 100% secure. If you believe your account has been compromised, change your PIN and contact us immediately.

8Retention

We keep your account and business data for as long as your workspace is active, so you can always access your billing and order history. If your workspace is deleted, the associated data is removed from our systems and backups are purged on a regular cycle.

Error logs and diagnostic data are kept for a limited period (typically a few months) and are used only to maintain reliability and security.

9Your rights

You own your business data. You can ask us at any time to:

Access a copy of the data we hold about your workspace.
Correct information that is inaccurate or incomplete.
Export your business data in a usable format.
Delete your data and account (see below).
Opt out of non-essential communications, such as product announcement emails.

To exercise any of these rights, email bizzminisupport@gmail.com from the email address linked to your workspace.

10Account deletion

You can request complete deletion of your workspace and all its data at any time.

Email bizzminisupport@gmail.com with the subject "Delete my account" and confirm the workspace you want removed.
We will verify that you are authorised to manage that workspace, then delete the workspace database and its content.
Data is removed from active systems, and copies in backups are purged on the next scheduled cycle (typically within 30 days).

Deletion is permanent and cannot be undone. After deletion you will no longer be able to log in, and billing, order, and stock history for that workspace will be gone.

The vikibill.com marketing site does not set tracking cookies and does not use advertising or analytics trackers. If you email us through the contact link, we use the details you provide only to respond to you.

The site links to our public pages on Instagram and YouTube. Those services are operated by their respective providers, and using them is governed by their own privacy policies. Vikibill does not receive any personal data from those links.
